Proclamation Request
The purpose of this policy is to establish consistent guidelines and a formal process for the issuance of Mayoral Proclamations. These documents are ceremonial in nature and are issued at the discretion of the Mayor to recognize significant community contributions, milestones, or public awareness initiatives.
To be considered, a request should meet at least one of the following:
- Local Impact:
The individual, event, or organization must be based in or have a significant connection to the municipality. - Civic Contribution:
Recognizes extraordinary service to the community or a major milestone. - Awareness & Education:
Supports a cause or initiative that aligns with the Town's mission or public health and safety.
Submission Procedures
- Requests must be submitted online (below) or via email (colliervillepio@colliervilletn.gov) at least 30 days prior to the requested date.
- Requesters must provide draft "Whereas" clauses and a summary of the recipient's impact.
- Only one proclamation will be issued per organization/cause per calendar year.
Distribution and Presentation
- Pick Up:
All proclamations are held at Town Hall for pick-up unless otherwise arranged. - Ceremonial Reading:
Requests for the Mayor to read a proclamation at a Board of Mayor and Aldermen (BMA) meeting must be specifically requested and are subject to the meeting agenda's constraints. Similarly, requests for the Mayor to present the proclamation at an event must be specifically requested and are subject to the Mayor’s availability.
Marketing and Public Engagement
The Town reserves the right to determine the extent of media coverage and social media promotion for any issued proclamation. Decisions regarding marketing efforts are made by the Public Information Officer (PIO).
